Group applications for the same unit

Application grouping allows you to organize multiple applicants for the same unit into one easy to manage group, simplifying the application and approval process by eliminating the need to manually sort and identify which applicants are applying together.

Application grouping allows you to 

  1. save time and manual effort of matching applicants together under the correct unit
  2. create, edit and delete applicant groups 
  3. let applicants create their own group when filling out the online application
  4. view all applicants with in a group in one place 
  5. mark applicants as part of an existing group
  6. set and view a group’s status
  7. easily track status and the % of completion for the entire group 
  8. leave a note on a group
  9. assign a group to a property
  10. move-in all applicants in a group once approved

With this update we have added a new view to the applicants page called that allows you to toggle between viewing all applicants by the groups they belong to or by individual. 

You can easily identify if an individual applicant is a member of a group if they have this icon next to their name:

How to create a group of applicants 

From the applicants grid, you can create a group by clicking the "create group" button at the top of the page. 

  • Select the property and unit that this group will be assigned to
  • Under "Applicants" click the Add button
  • You can add new applicants or select existing
  • add or select all applicants that you want to be added to the group and click save
  • You can also choose to email the application link to any newly added applicants

Note: an email address is required in order to send the link to new applicants.

Creating an applicant group when adding a new applicant

From the applicants page Click add applicant 

  • Enter in the contact information for the new applicant
  • then click the add co applicant button
  • from here you can add new applicant information or search and select existing applicants 
  • You can also choose to email the application link to any newly added applicants

  • Click save

How Applicants can group themselves

To make things even easier on you, applicants can also group themselves. When applicants are applying with roommates they will be able to send a linked application to their co-applicants right from the online rental application, eliminating the need to identify applicants and create the groups yourself.

How to group applicants from the applicants grid

You can quickly and easily group applicants right from the applicants page grid. 

  • use the filters at the top of the grid to find the property that the applicants have applied for
  • select the individual applicants that you would like to group together
  • use the "Group applicants" button on the blue bulk actions bar.
  • you then have the opportunity to add additional applicants and notify new applicants

How to add an applicant to an existing group 

To add an applicant to an existing group, find the group on the applicants page under the group view. 

  • next to "applicants" click add
  • enter the information for any new applicants or search and select existing applicants 
  • click save and all additional applicants will be added to the group

Move-in all applicants in a group once approved

If all the applicants in a group for the same property/unit have been approved, you can select “move in applicants” to add all applicants to either a new or existing lease. You also have the option to move-in specific applicants within a group.
