Tracking event history in Buildium

Event history captures key events as you use your Buildium account. You can also create custom events and add them manually.

Automatic eventsShowHide

Buildium automatically captures a variety of events for each entity. These events will be recorded as you use the software on a daily basis. The automatically recorded events are below:

Custom events

You can define custom events to meet the needs of your business or association. Custom events can be added for properties, associations, units, leases and ownership accounts, and tenants and association owners. Here are some ideas on how to use this feature.

  • Note the stages of an eviction on a lease
  • Track when a tenant gives notice to vacate the unit
  • Track a collection process against a resident
  • Tracking maintenance for a property

 

Create a custom event from Application settings ShowHide

  1. Go to the Settings menu.
  2. Click on the Application settings page.
  3. Click Event history link.

  4. Click Add an event.

  5. Create your event in the panel.

  6. Click Save.

Custom events can also be added at the page level for properties, associations, units, leases and ownership accounts, and tenants and association owners.

Once you've created your custom events, you can add an event any time you need to track it.

To add an event:

  1. Navigate to the entity you want to add the event to.

  2. Click the name of the entity, then click the Event history tab.
  3. In the Event history page that appears, a list of all previously entered events is displayed.
  4. Click Add an event.

    If the Add an event button does not appear, it means that you have not set up any custom events. Click to Set up custom events.

  5. Fill in the required information.

  6. Click Create event.

  1. Navigate to where you want to edit the event.
  2. Click the Event history tab.
  3. In the Event history page that appears, a list of all previously entered events is displayed.
  4. Click the event that you want to edit. The event information appears above the event list and is editable.
  5. Click Save event to make the change to the event.

Delete a custom eventShowHide

  1. Navigate to where you want to delete the event.
  2. Click the Event history tab. A list of all previously entered events is displayed.
  3. Click the date of the event you'd like to remove.
  4. Above the list of events, click.Delete/trash can button
  5. Click Delete event to confirm.

Event history rolls up to the next higher level:

For Rental Properties:

  • Tenant events also appear in the event history for the tenant's lease, unit, and the rental property.
  • Lease events also appear in the event history for the unit and rental property.
  • Unit events also appear in the event history for the rental property.

For Associations:

  • Association Owner events appear in the event history for the unit and the Association property.
  • Unit event history appears in the event history for the Association property.

ReportingShowHide

You can run reports on event history using the Event history report under the Reports menu.

Buildium's event history feature allows you to track notable things that happen to a property, unit, lease, Association Owner, or tenant. This feature has more structure than Notes and more flexibility than adding a File.
