Resident reminders for ePay and the Resident Center
Our Resident Reminder functionality in Buildium is designed to help you enable residents to use the services you offer them while taking the manual work off of your plate.
There are two automated Resident Reminders emails available. One will prompt your Residents to create their Resident Center account, the other will remind residents who are enabled for ePay to make payments online.
Resident Center email reminders:
Resident Center email reminders remind residents who have been invited to use the Resident Center to set up their resident center account.
Who receives Resident Center reminders?
- Reminders will only send to residents who you have invited to use the Resident Center, but have not yet set up their account.
- Residents must be on an active lease or association ownership account at the time of sending the reminder
- NOTE: Leases expired more than 30 days are not considered active
When do Resident Center email reminders send?
- You can choose to send Resident Center email reminders weekly or monthly
- The cadence you select will determine when reminders are sent, they will always be sent on a sunday
- Reminders will stop being sent once the resident creates their account
- Depending on the cadence selected when reminders begin sending, only residents who were initially invited over 1 week or 1 month ago will receive the first reminder email
Will this go to HOA residents too?
Resident Center email reminders will be sent to both new rental residents and new association owner residents.
There are two versions of the Resident Center reminder email, one for rental residents and one for association owner residents. Both versions of the email are fully customizable.

Do Resident Center email reminders send forever?
No, reminders will completely stop sending after the resident has received three reminder emails. After three emails, they will not be reminded again.
Is the Resident Center reminder email customizable?
Yes. There are two versions of the welcome email reminder, one for rental residents and one for association owner residents, both are fully customizable. To customize the welcome email reminder template:
- Navigate to Communications>>Resident Center Settings
- In the left nav, find "Reminders"
- Click "preview or edit" on the Resident Center reminder email
You can also preview or edit the email template from the reminders automated email settings page. Navigate to Communications >> automated email settings >> Resident Center reminder email (tenant) or Resident Center reminder email (association owner)
ePay Reminders:
ePay reminders let residents know that you have given them the ability to make online payments via the Resident Center.
Who receives ePay reminders:
Only residents who meet the following criteria will receive reminders
- any resident you have enabled for ePay (ACH, Credit Card, or both)
- Resident has created their resident center account
- Resident has not made a payment through the resident center in the last 90 days
- If epay is not enabled for the resident, they will not receive an epay reminder
Will this go to HOA residents too?

Can you choose to send reminders only to HOA or only to rental residents?
Not at this time.
Is the ePay reminder email customizable?
Yes. There are two versions of the epay email reminder, one for rental residents and one for association owner residents, both are fully customizable. To customize the epay email reminder template:
- Navigate to Communications>>Resident Center Settings
- In the left nav, find "Reminders"
- Click "preview or edit" on the epay reminder email
You can also preview or edit the email template from the reminders automated email settings page. Navigate to Communications >> automated email settings >> ePay reminder email (tenant) or ePay reminder email (association owner)
Do these reminders send forever?
No, reminders will completely stop sending after the resident has received three reminder emails. After three emails, they will not be reminded again.
When will they send:
ePay reminders will go out monthly when charges are due.
We will not send this reminder if the Payment Reminder email (triggered by charges posting) is sent the same day. In that case the reminder will go out the next day IF and only if they still have not paid down the recently due charge through the Resident Center.
If multiple people are on a lease, will they all receive reminders?
Resident Center email reminders are tied to the individual resident, and will send all three reminders to each resident unless they set up their resident center account. However, once they have received three email reminders, they will not be reminded again.
ePay reminders are tied to the lease, so if one person on the lease makes an online payment, all residents on that lease will stop receiving reminder emails.
How do these reminders work together? Will my residents receive multiple reminders at once?
Together, these reminders work as a “set it and forget it” reminder system will first prompt your residents to create their Resident Center account. The resident will only qualify for ePay reminders if they have set up their Resident Center account. At that time, they will stop receiving welcome email reminders and start receiving ePay reminders.
How do these reminders work with Renters Insurance Reminders?
The resident will only qualify for renters insurance reminders if they have set up their Resident Center account. At that time, they will stop receiving welcome email reminders and start receiving renters insurance reminders. If they qualify, residents may be receiving renters insurance reminders and epay reminders within the same month, however Renters insurance reminders will only send on wednesdays and ePay reminders will send on the day that the charge is due.

How to turn resident center and epay reminders on or off
Both resident center reminders and epay reminders have their own settings and can be turned on or off separately.
- To adjust resident reminder settings, navigate to Communications>>Resident Center Settings
- In the left nav, find "Reminders"
- From here you can change the toggle to on or off for both resident center reminders and ePay reminders
From the reminders setting page, you can also adjust the timing for Resident Center reminders to either weekly or monthly.
