You can now include digital copies for recipients when you e-File with Buildium.

To send digital copies when you file your 1099s, just select "yes" on the check out page under the first question: "Would you like digital copies to be sent to recipients?"

This will ensure that digital copies are automatically sent to recipients with an email address on file. These will be sent in addition to the hard copies that are printed and mailed.

How do digital copies for 1099s work?
When you eFile, the 1099 recipient will receive an email with a secure link to download a digital copy. (An email address for the recipient is required.)
  •     The link they receive in their email is a specific link to the recipient – not a general portal login
  •     The recipient then needs to enter the last 4 digits of their TIN to access their digital copy
  •     This dual layer of security is much more secure than having a form sitting in an inbox!
  •    If no email address is included, no email will be sent.

Do I have to send digital copies when I e-File?

No, you do not have to include digital copies when you e-File. If you do not want to send digital copies to a recipient, simply answer "no" for the first question on the 1099s check out page.

Do I have to send digital copies to every recipient?

No, you can choose whether or not each individual recipient can receive a digital copy by editing their tax information from the recipient selection page or the verify amounts page.

Choose either:

  1. "Do not send this recipient digital copies"
  2. "Yes, Send this recipient digital copies"

Are digital copies secure?

Digital copies are sent to your recipient's email with a secure link to access. The link they receive is a specific link to for that recipient – not a general portal login. The recipient will be required to enter the last 4 digits of their Social Security Number (SSN) or Tax Identification Number (TIN) in order to verify who they are and access their digital copy. Note: the number they enter should be the same as the number that was filed for. This dual layer of security is much more secure than having a form sitting in an email inbox.

Which email address will digital copies be sent to for the recipient?

Digital copies will be sent to the Primary email address attached to the contact record within Buildium. You can change the email address for the digital copy by editing the recipient's tax information from the recipient selection page or the verify amounts page.

Will digital copies still go to recipients if I choose to ship the paper copies myself or the payer?

No, if you choose to have paper copies shipped to your own address or to the payer, digital copies will not be sent to vendor and owner recipients.
